Still being built: e-invitation.dk is a new business that we are still developing, so this policy may change along the way. We update this page before we change how we process data.
This page explains which personal data we process when you visit e-invitation.dk, send us a request, order an invitation or open an invitation we have made.
1. Data controller
e-invitation.dk
Owner: Memo S
Address: 2980 Kokkedal
Email: kontakt@e-invitation.dk
If you have questions about how we handle your data, write to kontakt@e-invitation.dk.
2. When you send a request
The form on the website collects what you write yourself: name, email, phone (optional), occasion, date, package, languages, the example you liked and your message. We also store that you have read our terms of sale and this policy.
Purpose: to answer you and send a quote.
Legal basis: steps taken before a possible agreement, Article 6(1)(b) of the General Data Protection Regulation (GDPR).
The form is sent through the FormSubmit service (formsubmit.co), which forwards it to our email. FormSubmit may process the data outside the EU. If you would rather avoid that, write directly to kontakt@e-invitation.dk.
3. When you order an invitation
To make the invitation, we use the details you give us for it, such as names, date, time, venue, programme, texts and images. For the invoice we use your name, your address, the task and the amount.
Purpose: to deliver the invitation and handle payment.
Legal basis: performance of the agreement, Article 6(1)(b), and our duty to keep accounting records under the Danish Bookkeeping Act, Article 6(1)(c).
AI tools: We use AI tools to translate texts and help build the invitation. The only details the tools receive are the names, the venue and the time of the event. The tools may process this outside the EU. We never share your contact or payment details with them.
At the moment you pay by invoice. If we later start using a payment provider (e.g. for MobilePay or card payments), we will say so here before it is used.
4. Guests, images and RSVPs
Names of other people: The invitation may name people other than you, such as hosts, children or guests. We only use the names you ask us to put in the invitation, and only for it. The legal basis is our legitimate interest in delivering the invitation you ordered, Article 6(1)(f). Please make sure the people named are happy with it.
Images: We only use the images you send us, and only in your invitation. We don't use them in our own marketing without your written consent. Only send images you have the right to use, and where recognisable people are happy with it, especially children. Don't send sensitive information (e.g. about health) that isn't meant to be in the invitation.
RSVP and photo gallery: We don't yet offer a way for guests to reply or upload photos in the invitation. Before we do, we will update this page with what is collected, who can see it and when it is deleted. Guests' replies and photos will only be used for your event, only be visible to you and us, and be deleted together with the invitation.
Business customers: When we process data about your guests or employees on your behalf, we are your data processor. See the terms of sale, section 12.
5. When you visit the website or open an invitation
The website and the invitations are served by Cloudflare Pages (Cloudflare Inc., USA) and stored in a private GitHub repository (GitHub Inc., USA). Like any web server, Cloudflare records technical information about the visit, such as your IP address, to deliver the page and protect it against abuse. Cloudflare and GitHub participate in the EU-U.S. Data Privacy Framework.
Legal basis: our legitimate interest in showing the website securely, Article 6(1)(f).
An invitation is published at a personal address on e-invitation.dk that only the people who get the link know. Invitations are not shown in search engines. Anyone with the link can open the invitation, though, so only share it with your guests.
Fonts and icons are loaded from our own website, not from Google or anyone else. The map link in an invitation opens Google Maps only when you click it yourself.
6. Cookies and statistics
We use no cookies and no tracking or visitor statistics on the website. The only thing we store on your device is the language you chose, so the site remembers it next time. It stays on your device and is not sent to us.
7. Ads and social media
We advertise on, for example, Facebook, Instagram and Google. When you see or click an ad, Meta or Google process data about you under their own privacy policies. We only receive totals, such as how many people saw or clicked an ad, and nothing about you as a person.
The website contains no tracking code from ad networks (such as the Meta Pixel or Google Ads tags). If we start using them, we will ask for your consent first and update this page.
If you message us on Facebook or Instagram, we process the message to answer you. For the statistics of our Facebook page we are joint controllers with Meta, which has the primary responsibility.
8. How long we keep data
- Requests that don't lead to an order: deleted 6 months after our last contact, unless there is a specific reason to keep them longer (e.g. we are still discussing an order, or a matter needs to be resolved).
- Invitations and the material you sent for them (texts, images, logos, names): taken offline 1 month after the event (or later, if you have bought extra months), or earlier if you ask. We keep a copy in our private archive for up to 12 months after that, so we can put the invitation back online if you wish. Then it is deleted.
- Invoices and accounting records: kept separately from the invitations for 5 years from the end of the financial year, as required by the Danish Bookkeeping Act. They only contain what has to be on an invoice.
9. Your rights
You have the right to see the data we hold about you and to have it corrected or deleted. You can also ask us to restrict processing, object to it and receive your data in a portable format. This also applies to guests and others named in an invitation. Write to kontakt@e-invitation.dk.
If you are unhappy with how we handle your data, you can complain to the Danish Data Protection Agency (Datatilsynet), Carl Jacobsens Vej 35, 2500 Valby, Denmark, datatilsynet.dk.
10. Changes
We update this page when we change how we process data. The date at the top shows the latest change. Please also read our terms of sale.
